M2 Arctic Journey Terms

Travel Organizer: (hereinafter referred to as " Organizer " )

Participants: (hereinafter referred to as “ Participants ” )  

In order to clarify the rights and obligations of extreme travel to the Yukon and Northwest Territories of Canada, the two parties voluntarily reached the following agreement:

A. Travel Overview

1. Nature of the Trip: This trip is an extreme and unconventional trip to the Yukon and Northwest Territories of Canada . Explore the polar regions and watch the aurora. The trip involves extremely cold climates, remote areas and pristine natural environments, with relatively simple living conditions and challenging dining that is different from urbanized standards.  

2. Participants have fully understood the nature of the trip and voluntarily participated before agreeing to this agreement. (If there are urbanized standard requirements for hotels or restaurants, such as chain hotels or fine restaurants, please do not sign up or agree to this agreement)

B. Itinerary

1. Itinerary: The specific itinerary is provided by the organizer and participants should read and confirm it in advance. The itinerary may involve activities such as polar exploration , crossing the Arctic Ocean Icefield Parkway and aurora viewing.  

2. Force Majeure Clause: If the trip cannot be continued due to force majeure factors such as natural disasters (such as blizzards, ice breaks), wildlife threats, Canadian government bans or polar weather changes, the organizer reserves the right to change the itinerary, postpone or cancel. The specific adjustment plan is determined by the organizer, and participants have no right to require the original plan to be enforced. If the trip is cancelled due to force majeure, the fees paid will be refunded after deducting the actual non-refundable costs (such as transportation booking fees and permit fees in the Yukon or Northwest Territories). The refund will be completed within 30 working days.

C. Accommodation and Meals

1. Accommodation conditions: Due to resource constraints in the Yukon and Northwest Territories, accommodation may be in local small hotels or cabins. In some locations, you may need to share a queen-size bed (2m x 1.5m). In rare cases, single applicants may need to share a bed with group members on some nights, and double applicants may need to share a bed. Accommodation is arranged for the most beautiful scenery, such as the Northern Lights, and participants understand and accept this arrangement.  

2. Catering arrangements: Catering arrangements are based on the principle of adapting to the extremely cold environment (such as high-calorie frozen foods or simple cooking in the wild), which may not meet individual needs. Participants need to prepare their own food for the trip, and the organizer will organize the purchase and preparation and provide technical guidance . Dinner and breakfast are provided by the restaurant, and the cost is to be paid by the participants.

D. Fees and Payment

1. Travel expenses: The total cost includes ( a large SUV for 5 people , accommodation, some meals, guide fees, etc.), but does not include (round-trip air tickets, personal expenses, visa fees, travel insurance, etc.).  

2. Payment method : Participants are required to place an order on the website and pay the full amount.  

3. Refund Policy :  

• Participants can receive a 90% refund minus any incurred expenses (such as booking fees) if they cancel 15 days before departure .  
• No refund will be given if cancelled within 7 days before departure .  
• If the trip is cancelled due to reasons of the organizer (except force majeure), a full refund will be given.

E. Responsibilities and Risks

1. Risk Notice: This trip has a low risk of danger, including but not limited to extreme cold weather (temperature may drop to -20 ° C ) causing traffic disruption, etc. Participants need to assess their own physical condition and bear the corresponding risks.  

2. Insurance requirements: Participants must purchase their own insurance covering medical assistance in the extreme north of Canada and provide proof of insurance to the organizer before departure. If you want to purchase in Canada, The organizer can help find insurance companies.

3. Division of responsibilities :  

• The organizer shall bear corresponding responsibility for the losses caused by its own negligence.  
• Participants are responsible for the consequences of their own behavior (such as failure to follow the guide's instructions or acting without authorization), and the organizer is not responsible.

F. Special Requirements for Yukon and Northwest Territories

1. Visa and Entry: Participants are responsible for obtaining their own Canadian visa (such as ETA or tourist visa) and ensuring that they meet the entry requirements of the Canada Border Services Agency ( CBSA ). The Organizer can provide proof of travel but is not responsible for visa applications.  

2. Environmental protection and law: Participants must comply with environmental laws in the Yukon and Northwest Territories (such as not leaving trash, not disturbing wildlife), and respect the cultural customs of indigenous communities (such as Inuit or First Nations). Violators will bear the legal consequences.  

3. Emergency rescue: Yukon and the Northwest Territories are vast and sparsely populated, and rescue costs are extremely high . Participants should ensure that their insurance covers such expenses.  

4. Equipment requirements: Participants need to bring or rent equipment suitable for extreme cold environments (such as down jackets and warm shoes). The specific list will be provided by the organizer.

G. Other Agreements

1. Code of Conduct: Participants should abide by the arrangements of the organizer and the Canadian Northern Guide and must not leave the team without permission or engage in dangerous activities (such as crossing the ice without permission).  

2. Dispute Resolution: Any dispute arising from this Agreement shall be settled through negotiation between the parties. If no agreement can be reached through negotiation, the dispute shall be submitted to the competent court or arbitration institution in the location of the Organizer (or Whitehorse, the capital of Yukon, Canada ) for settlement.  

3. The agreement comes into effect: On the shopping cart page of the website, check "I have read and agreed to the relevant terms of M2 Arctic Tours", and it will be deemed to be effective.

2. Before agreeing to this contract, the Participant fully understands the nature of the trip and voluntarily joins. (If the Participant requires urban-level hotel or dining standards, such as chain hotels or gourmet meals, they should not sign up or agree to this contract.)

B. Itinerary

1. Trip Plan: The itinerary is provided by the Organizer, and the Participant should review and confirm it in advance. Activities may include polar exploration, crossing the Arctic Ocean Ice Road, and aurora viewing.

2. Force Majeure Clause: If the trip cannot continue due to natural disasters (such as blizzards or ice breakage), wildlife threats, Canadian government restrictions, or sudden polar weather changes, the Organizer reserves the right to modify, postpone, or cancel the itinerary. The Participant cannot demand the original plan to be enforced.

   • If the trip is canceled due to force majeure, the payment will be refunded after deducting non-refundable actual costs (eg, transportation booking fees and permits in Yukon or Northwest Territories).
   • Refunds will be processed within 30 business days.

1. Accommodation Conditions: Due to resource limitations in the Yukon and Northwest Territories, accommodations may include small local lodges or cabins. Some locations may require Participants to share a queen-size bed (2m x 1.5m). In rare cases, solo travelers may need to share a bed with another participant, and double-booking participants may need to share a single bed. Accommodations are chosen for the best scenic experiences, such as aurora viewing, and the Participant understands and accepts these conditions.

2. Dining Arrangements: Meals are designed to suit extreme cold environments (eg, high-calorie frozen foods or simple outdoor cooking) and may not meet personalized preferences. Participants should prepare their own travel snacks. The Organizer will arrange purchases and provide technical guidance. Hot meals for breakfast and dinner are available at restaurants, but the cost is self-paid.

D. Fees and Payment

1. Travel Costs:

   • Included: Large SUV for five people, accommodations, some meals, and guide fees.
   • Not Included: Round-trip airfare, personal expenses, visa fees, and travel insurance.

2. Payment Method: The Participant must place an order and pay the full amount on the website.

3. Refund Policy:

   • If the Participant cancels 15 days before departure, they will receive a 90% refund, minus incurred expenses (eg, reservation fees).
   • If the Participant cancels within 7 days of departure, no refund will be issued.
   • If the trip is canceled due to reasons attributed to the Organizer (excluding force majeure), a full refund will be provided.

E. Liability and Risks

1. Risk Acknowledgment: This trip involves low-level dangers, including but not limited to extreme cold conditions (temperatures as low as -20°C) that may cause transportation disruptions. The Participant must assess their physical condition and bear the associated risks.

2. Insurance Requirement: The Participant must purchase travel insurance that covers medical rescue in northern Canada and provide proof before departure. The Organizer can assist in finding an insurance provider if needed.

3. Liability Allocation:

   • The Organizer is responsible for any losses resulting from its own negligence.
   • The Participant is responsible for consequences arising from personal actions, such as ignoring guide instructions or acting independently. The Organizer will not be held liable.

F. Special Requirements for the Yukon and Northwest Territories

1. Visa and Entry Requirements:

   • The Participant must independently obtain a Canadian visa (eg, ETA or tourist visa) and ensure compliance with the Canada Border Services Agency (CBSA) requirements.
   • The Organizer may provide travel documentation but does not handle visa applications.

2. Environmental and Legal Compliance:

   • The Participant must follow environmental regulations in the Yukon and Northwest Territories (eg, no littering, no disturbing wildlife).
   • The Participant must respect Indigenous communities (eg, Inuit or First Nations cultural customs). Violators bear legal responsibility.

3. Emergency Rescue:

   • Due to the vast and sparsely populated nature of the Yukon and Northwest Territories, rescue costs are extremely high. The Participant must ensure their insurance covers such expenses.

4. Equipment Requirements:

   • The Participant must bring or rent proper extreme cold gear (eg, down jackets, insulated boots). A detailed equipment list will be provided by the Organizer.

G. Additional Agreements

1. Code of Conduct:

   • The Participant must comply with the Organizer's and northern Canadian guides' arrangements.
   • The Participant must not leave the group or engage in dangerous activities (eg, unauthorized ice crossings).

2. Dispute Resolution:

   • Any disputes arising from this agreement should be resolved through negotiation.
   • If negotiation fails, disputes shall be submitted to a court or arbitration body in the Organizer's location or Whitehorse, Yukon, for resolution.

3. Agreement Activation:

   • By checking the box "I have read and agree to the terms and conditions of M2 Arctic Travel Group" on the website checkout page, the agreement takes effect.
